Deeside Dragons Official Supporters Club Constitution

1. Name

The name of the organisation shall be Deeside Dragons Official Supporters Club (hereafter referred to as “DDOSC”).

2. Mission Statement

We exist for one reason, the hockey. The DDOSC is here to bring fans together, to back the team through every shift, every goal, every win and every loss. We are one voice in the stands, one identity in the crowd, and one community behind the badge. We believe in creating an atmosphere that players feel, that opponents respect, and that new fans never forget. We are proud to support a club built on community, not ego. A club that gives back, stands for something, and represents more than just what happens on the ice. We welcome everyone. Families, first-time fans, lifelong supporters. The DDOSC exists to unite and represent supporters of the Deeside Dragons ice hockey team. It is established to foster a strong, inclusive, and engaged supporter community that actively backs the team through all aspects of competition. The DDOSC seeks to create a positive, passionate, and respectful atmosphere that enhances both player experience and spectator enjoyment.

The DDOSC is committed to:

  • Bringing supporters together under a shared identity
  • Creating a distinctive and positive matchday atmosphere
  • Supporting a club rooted in community values, integrity, and collective pride
  • Welcoming individuals of all backgrounds, including families, new supporters, and long-standing fans
  • Promoting a sense of belonging and shared purpose among members

3. Aims and Objectives

The objectives of the DDOSC are to:

  • Support and promote the Deeside Dragons ice hockey team
  • Enhance the matchday experience through coordinated supporter engagement
  • Organise travel, events, and social activities for members
  • Encourage wider participation in ice hockey and supporter culture
  • Build constructive relationships with the Deeside Dragons Board and wider hockey community
  • Raise and manage funds in support of Club activities
  • Promote inclusivity, respect, and positive supporter behaviour

4. Values and Principles

The Club shall operate in accordance with the following principles:

  • Inclusivity and equality
  • Respectful and positive conduct
  • Transparency and accountability
  • Community engagement and civic responsibility
  • Collective identity and shared purpose

5. Membership

5.1 Eligibility

Membership shall be open to any individual who supports the aims and values of the Club. However, under 18 years old, members needed to be linked to a family membership with a parent or guardian receiving the correspondence on behalf of the whole family.

5.2 Categories

Membership categories may include, but are not limited to:

  • Adult
  • Junior
  • Family

5.3 Membership Fees

Membership fees shall be determined annually by the Committee.

5.4 Rights of Members

Members shall have the right to:

  • Attend General Meetings
  • Vote on matters (subject to age restrictions where applicable)
  • Stand for election to the Committee
  • Participate in Club activities

6. Governance and Committee Structure

6.1 Composition

The Club shall be governed by a Committee comprising:

  • Chair
  • Vice Chair
  • Secretary
  • Vice Secretary
  • Treasurer
  • Social Secretary
  • Additional roles as deemed necessary

6.2 Responsibilities

The Committee shall:

  • Manage the affairs of the DDOSC
  • Ensure compliance with this Constitution
  • Oversee financial management and accountability
  • Represent the interests of members
  • Maintain effective communication with stakeholders

6.3 Term of Office

Committee members shall serve for a term of one year and may stand for re-election.

6.4 Decision-Making

Decisions shall be made by a simple majority of those present and voting.

7. General Meetings

7.1 Annual General Meeting (AGM)

An AGM shall be held annually to:

  • Elect the Committee
  • Present financial statements
  • Review Club activities
  • Consider member proposals

7.2 Extraordinary General Meeting (EGM)

An EGM may be called by:

  • The Committee, or
  • A minimum of 25% of members

7.3 Voting

Each eligible member shall have one vote. Decisions shall be made by simple majority unless otherwise specified. Including the Board having a vote on the committee members.

8. Finance and Accountability

8.1 Use of Funds

All funds shall be applied solely to further the objectives of the DDOSC.

8.2 Banking

The Club shall maintain a bank account requiring a minimum of two authorised signatories.

8.3 Financial Reporting

The Treasurer shall maintain accurate records and present an annual financial report to the AGM and the Board.

9. Code of Conduct

Members shall:

  • Act in a respectful and inclusive manner
  • Support the Club and team positively
  • Refrain from abusive, discriminatory, or disruptive behaviour
  • Comply with venue, league, and Club regulations

Failure to adhere to this Code may result in disciplinary action.

10. Safeguarding

The DDOSC shall take reasonable steps to ensure a safe and inclusive environment for children and vulnerable individuals, in line with good safeguarding practice and follow the agreed safeguarding policy of the Club.

11. Disciplinary Procedure

11.1 Principles

All disciplinary matters shall be handled fairly, consistently, and proportionately by the committee.

11.2 Scope of Misconduct

Misconduct includes, but is not limited to:

  • Behaviour that is abusive, discriminatory, or inappropriate
  • Conduct bringing the DDOSC or Deeside Dragons into disrepute
  • Breach of this Constitution or Club policies
  • Failure to follow Committee decisions
  • Unauthorised sharing or distribution of members-only or confidential content
  • Disruptive conduct at events or on Club/DDOSC platforms

11.3 Disciplinary Framework (Strike System)

The DDOSC shall operate a graduated disciplinary system:

  • First Written Warning
  • Final Written Warning, with potential suspension
  • Termination of Membership

Warnings shall remain active for a period of 12 months.

11.4 Serious Misconduct

The Committee may impose immediate sanctions, including termination, in cases of serious misconduct.

11.5 Procedure

Members shall be notified of allegations, given opportunity to respond, and informed of outcomes in writing.

11.6 Suspension Pending Investigation

Temporary suspension may be applied where appropriate.

11.7 Right of Appeal

Members may appeal within 14 days. Appeal decisions are final.

11.8 Record Keeping

All disciplinary matters shall be recorded and handled confidentially in accordance with data protection legislation.

11.9 Definition of Members-Only Content

Members-only content includes communications, materials, or benefits distributed exclusively through official Club channels.

12. Amendments to the Constitution

Amendments require a two-thirds majority at an AGM or EGM.

13. Dissolution

In the event of dissolution, any remaining assets shall be transferred to a community organisation or cause aligned with the Club’s objectives, as agreed by members.
